Young Actors Assembly (YAA) Terms & Conditions

These Terms and Conditions outline the responsibilities, expectations, and legal agreements that apply to all students and families participating in Young Actors Assembly (YAA) programs. By enrolling in any YAA program, including classes, retreats, workshops, and filmmaking projects, you agree to comply with the following conditions. This document ensures transparency around enrolment, payment, cancellations, conduct, intellectual property, privacy, and child safety. Please read carefully before signing or completing enrolment.

0. Definitions

In these Terms and Conditions:

• “YAA” means Young Actors Assembly.
• “Participant” means the student enrolled in a YAA program.
• “Parent/Guardian” means the legal parent or guardian of the Participant.
• “Program” includes all weekly classes, annual courses, retreats, masterclasses and workshops.
• “Annual Program” means any program delivered across the full program year, including The Ultimate Actor’s Experience, The Screen Actor + Filmmaker, The Young Screen Actor + Filmmaker, The Stage Actor, and equivalent year-long courses.
• “Commencement Date” means the official start date of the relevant program.
• “Program Year” means the full period over which an Annual Program runs, from its Commencement Date to its scheduled completion.

1. Annual Program Commitment, Cancellation and Withdrawal

1.1)  Annual Programs are a single program delivered over the full Program Year. Enrolment in an Annual Program is a commitment to the entire Program Year, not a month-to-month or term-by-term arrangement.

1.2)  The fee for an Annual Program is a single annual fee. For convenience it is billed in monthly installments across the year. The instalment structure is a payment method only. It does not convert the enrolment into a monthly membership and does not entitle the Participant to withdraw on a monthly basis.

1.3)  A cooling-off period of five business days applies from the date of enrolment. Within this period, the Parent/Guardian may cancel by providing written notice. Deposits are non-refundable. Any instalments already paid within this period are non-refundable.

1.4)  After the cooling-off period, enrolment is binding for the full Program Year. The full annual fee is payable regardless of attendance, and the remaining installments remain due and will continue to be billed to their scheduled completion.

1.5)  Withdrawal from a Program does not reduce, suspend or extinguish the outstanding balance. If a Participant withdraws or ceases attending for any reason, all remaining installments for the Program Year remain payable, and YAA may continue to bill them as scheduled or, at its discretion, require the outstanding balance to be paid in full.

1.6)  No refunds or credits are issued for missed classes, change of mind, change of circumstances, or withdrawal, regardless of reason. Refunds are only issued where YAA cancels a Program and no alternative of equal value is offered.

1.7)  If YAA cancels a class, a refund, credit, or alternative class of equal value will be offered.

1.8)  Creative Kids Vouchers are valid within one calendar year.

1.9)  Substitution of participants is not permitted without written approval.

 

1A. Annual Fee Obligation and YAA Discretion

1A.1)  The annual fee is payable in full for the Program Year in all circumstances. Withdrawal, absence, or change of circumstances does not reduce or extinguish this obligation, and the reason for any withdrawal does not alter it.

1A.2)  YAA may, at its sole and absolute discretion, choose to vary, reduce or waive part of an outstanding balance. Any such decision is made by YAA alone, on a case-by-case basis. It is not a right, it does not depend on any reason or circumstance provided by the Parent/Guardian, it creates no precedent, and it does not alter these Terms for any other Participant or in any other case.

2. Conditions of Enrolment and Participation

2.1)  Attendance: Consistent attendance is expected. Excessive absences may impact participation.

2.2)  Communication: Parents/Guardians must keep contact details updated and check communications regularly.

2.3)  Classroom etiquette: Respectful behaviour is required at all times.

2.4)  Clothing and footwear: Participants must wear appropriate clothing for movement and studio work.

2.5)  Assignments and script responsibility: Participants must bring required materials to each class.

2.6)  Participation in filming: Screen acting students agree to take part fully in filming modules.

2.7)  Consent: Enrolment confirms permission for involvement in all class activities unless otherwise stated.

2.8)  Intellectual property: All scripts and recordings created during YAA programs are owned by YAA or jointly owned as per project agreements. They may not be distributed or monetised without written consent.

3. Payments

3.1)  Prices are in Australian Dollars.

3.2)  Early Bird Discounts apply to Weekly Classes only.

3.3)  Annual Programs are billed as a single annual fee, paid in eleven monthly installments in advance via Stripe recurring payments. By enrolling, you authorise YAA to charge each scheduled instalment for the full Program Year.

3.4)  You agree to Stripe recurring payments.

3.5)  Credit card and gateway fees may be passed on to the customer.

3.6)  Payment is complete when funds have cleared.

3.7)  If a payment fails, YAA will contact you to resolve it. A late fee of $20 may be added to the next instalment where payment remains outstanding after reminders.

3.8)  If an account remains in arrears for more than 14 days, and reasonable attempts to resolve it have been unsuccessful, YAA may refer the outstanding debt to an external debt collection agency without further notice. Once a debt is referred, all costs of recovery, including debt collection commissions, mercantile agent fees, legal costs and administrative charges, are added to the amount owed and are payable by the Parent/Guardian. Referral or recovery action does not reduce or extinguish the underlying obligation to pay the full annual fee, and YAA reserves the right to pursue the full outstanding balance as a debt due.

3.9)  All reasonable legal and administrative costs associated with recovering unpaid fees are the responsibility of the Parent/Guardian.

3.10)  Tuition instalments must be paid in advance each month.

3.11)  Participants whose accounts are in arrears may not attend until the account is brought up to date. Arrears do not pause or reduce the underlying obligation to pay the full annual fee.

3.12)  Disruption, breach of these Terms, or withdrawal does not relieve the Parent/Guardian of the obligation to pay the remaining annual fee. Suspension or termination by YAA for conduct reasons does not entitle the Parent/Guardian to a refund.

3.13)  Refunds are not provided for a change of mind.

 

4. Safety and Wellbeing

All reasonable precautions will be taken to prevent accidents. Parents/Guardians must disclose relevant medical needs. In an emergency, YAA may seek medical care. All associated costs are the responsibility of the Parent/Guardian.

 

5. Child Safety and Studio Code of Conduct

YAA follows National Child Safe standards. Respect, punctuality and inclusive behaviour are expected. Bullying or disruptive behaviour may result in removal without refund.

6. YAA On Location – Holiday Workshops

6.1)  Full payment is required at enrolment.

6.2)  Refunds only if cancelled 14 days prior minus a $20 fee. Within 14 days, non-refundable.

6.3)  YAA may refuse admission for behavioural concerns.

6.4)  Parents consent to photography/filming.

6.5)  Withdrawn consent must be submitted in writing.

6.6)  Bounced payments incur a $20 fee.

6.7)  Timetables and pricing may change.

6.8)  Workshop participants agree to Sections 1–5.

7. Filmmaking Module – Casting and Screen Time

Short films are ensemble-based. Roles are distributed to serve the story. YAA does not guarantee line count, role size or screen time. Disputes about casting or creative decisions will not be accepted.

8. Confidential Information

All program design and communication is confidential and may not be shared.

9. Disputes

YAA encourages mediation before legal action. NSW law governs all agreements.

10. Force Majeure

YAA is not liable for service interruption caused by events beyond its control. Credits or rescheduled programming may be offered.

11. Online & Digital Delivery

YAA may deliver classes online. Recording sessions without permission is not allowed.

12. Privacy Policy

YAA complies with the Privacy Act 1988. Personal information is stored securely and used for communication and delivery of programs.
